Decisions needed
- Firm up dates and venue
- 400 Euros/day 3 nights, 3 days
- cost for sharing rooms, rather than singles? - 25 EU
- Avail only 18 - 19 - 20 (meeting rooms only 1000/EU day)
- ACTION: Dates set for June 18 - 20
- For those going to the Water meeting, would have to pay for a couple more nights hotel
- Camilo suggested ISS office, but still have to pay food/hotel costs - more or less same as other venues - GET A COST ESTIMATE
- Euphoric meeting paid a couple of thousand EU for about 80 people, so ISS might not be free?
- If costs are not an issue, the group prefers the countryside
- ACTION: Get ISS information and make a decision by Tuesday. If cost is not an issue, pick country. If cost is 30-40% lower, go with city. Dorine laid out some ideas in her email. No more than 4 pages.
- Roles and responsibilities: logistical, administrative and content
- Maarten's org can take some of the admin ICOS
- Dorine's org can take some of the admin HIVOS
- ACTION: M and D work out how to split out these tasks
- ACTION:Lucie will respond to those who have expressed interest in attending.
- ACTION:Ewan will input proposals into wiki
- Decide re. fee and grant (also if fee, look at conditions for waiving)
- Write up a short document describing value to participants, past meeting successes, etc. Could be used for asking in multiple organizations. Elaborate on wiki to create usable, adaptable template.
- How many people do we think need to be supported. Or wait till teams propose themselves and they say they do/don't need money.
- Should have a budget, include some general expenses.
- ACTION: M and D work on a rough draft proposal on the wiki by early next week, then Lucie will shape it into a proposal by 9 Feb for group comment/add/review.
- ACTION: Everyone contact their Southern contacts to see interest. And Southern partners on funding ideas.
- Opening to others outside the KM4Dev Community?
- Should be working on information/knowledge management even if not members
- Encourage them to join
- Criteria - DOERS! Implicit in the invitation
- Next meeting date in early March (post-submission date)
- Think about what we do if we have too many or not enough proposals? Sit with that for a while.
- Could have alternative track to projects
- If few proposals by due date, offer alternatives for participation
- ACTION: Lucie send Doodle invite to see when we might want to meet again.
