Effective knowledge sharing is much more difficult than you might think. The basic process involves the distribution of knowledge throughout a corporate entity. In order to be effective, this sharing of knowledge must be rapid and it must be thorough, reaching every relevant stratum of a business. Accomplishing this takes more than simply sending out emails to everyone. As the impact of shared knowledge becomes more evident, businesses like mine are looking for ways to apply new strategies to their efforts.

What Is the Purpose of Knowledge Management?

Managing the dispersal of knowledge is critical. If I need to get the right information about a product to people who are involved in its advertising, I could just designate them in an email and send them the information. However, in the modern business world, information is being generated and put to use at lightning quick paces. If I dedicated my whole day to distributing information, then I would never have time for anything else.

Instead of simply delegating the tasks involved with knowledge sharing to a team of employees, I can oversee the erection of a knowledge management framework. This internal management system can help everyone in my business participate in the coordination of information. Mutual participation can ensure that the framework will be most effective. A top-down approach will likely fail to make appropriate junctures between departments that are generating data and those that need to receive it.

Designing the System

Before I began developing the framework with which my employees and I would allocate relevant information, I got together with critical members and team leaders. We devised a plan for devising this framework by outlining several steps that we would have to take:

• Identifying Our Needs
• Identifying Resources That Would Help Us Answer Those Needs
• Acquiring Necessary Resources
• Retrieving, Sharing and Applying Knowledge
• Storing Data

Obviously, each step is dependent on the previous steps. Creating this framework was tricky because imperfections in the first steps would lead unavoidably to failure in the last steps. Since I was directly involved with people engaging in applications of knowledge most every day, I knew that I would need help finding the right way to devise the whole framework.

We were not done with our work at the end of a long meeting. Sharing knowledge is one of the most important activities in any business today. We are shifting a lot of our business onto the web and reacting to economic currents in real time. Every day we make adjustments to this framework for sharing knowledge.

Every business will require its particular approach. I encourage you to look at you own business and determine who else will be the most important to include in the design of such a framework.
